Welcome to Upskill Hub

A simple guide to understanding how the platform works, who uses it, and what they can do.

What is Upskill Hub?

Upskill Hub is a training platform for companies and individuals in Kenya. Think of it as a one-stop shop where people can find professional courses, book a seat, attend the training, and get a certificate at the end.

Companies can register their entire team and book training for their employees. Individuals can also sign up on their own and book courses directly.

Behind the scenes, admins manage everything — courses, schedules, trainers, venues, invoices, and more. Trainers see their assigned sessions. Content editors manage the blog and testimonials.

The People Who Use It

There are 7 types of users on the platform. Each person sees a different part of the system based on their role.

The Admin

The person who runs the entire platform. They can see and control everything.

The admin can:

  • Create and manage training courses
  • Schedule training sessions at different venues
  • View and confirm bookings from customers
  • Send invoices to clients
  • Add trainers to the platform (they get a welcome email with their login)
  • Manage all users — change their roles, suspend accounts
  • Issue certificates to participants who complete training
  • Manage venues, companies, blog posts, testimonials, and inquiries
  • View reports and platform statistics

The Trainer

The expert who teaches the courses. Created by the admin.

When an admin creates a trainer, they receive an email with their login details. Once logged in, the trainer can:

  • See their upcoming training sessions on their dashboard
  • View details about each session they're assigned to
  • Update their profile, bio, and areas of expertise

The Content Editor

The person who manages the website's content.

The editor can:

  • Write, edit, publish, and archive blog posts
  • Manage client testimonials (approve, feature, or remove them)

The Corporate Client

A company's representative who books training for their employees.

The corporate client can:

  • Manage their company profile
  • Add employees to their team (invite them by email)
  • Browse courses and book sessions for their employees
  • Track all company bookings in one place
  • View and track company invoices

The Employee

An employee whose company has booked training for them.

The employee can:

  • See the courses their company has booked for them (marked with a "Company Booked" badge)
  • Also book their own individual courses
  • Download their certificates after completing training

The Individual Learner

A person who signs up on their own to learn a new skill.

The individual can:

  • Browse the course catalog and find something interesting
  • Book a seat in a training session
  • Track their booking status
  • Download their certificates

How a Booking Works

Let's follow the journey from start to finish.

Someone finds a course

A visitor comes to the website and browses the course catalog. They can filter by category (Technical Skills, Soft Skills, etc.) and see details like duration, price, and what they'll learn.

They pick a session

Each course has upcoming training sessions at different dates and venues (for example, Nairobi on March 15 or Mombasa on April 5). They click "Book Now" on the session that works for them.

They fill in the booking form

This is where it gets interesting — the form changes depending on who's booking:

Individual

Their name is automatically filled in. They just confirm and submit.

Company

They see a list of their employees and select who should attend.

Admin reviews and confirms

The booking appears in the admin panel as "Pending". The admin reviews the details and clicks "Confirm" to approve it. The customer receives a confirmation email.

Invoice is sent

The admin clicks "Send Invoice" and an email goes out with all the payment details — the course name, amount, and how to pay. The invoice status is tracked: Draft → Sent → Paid.

Training happens

On the training day, participants attend the session at the scheduled venue. The trainer delivers the course. If it was a company booking, employees can see this session in their own portal marked as "Company Booked".

Certificate is issued

After the training is complete, the admin issues certificates. Each participant can download their certificate from their dashboard. Certificates have a unique verification code that anyone can use to confirm it's genuine.

When an admin logs in, they see a powerful dashboard with everything they need to run the business:

View all bookings, confirm or cancel them, see full booking details

View all registered users, change their roles, suspend or activate accounts

Add new trainers (they get a welcome email with their password)

Emails the System Sends

The platform automatically sends emails at key moments:

Booking Confirmation

When an admin confirms a booking, the customer gets an email with all the session details.

Invoice

When the admin clicks "Send Invoice", an email goes out with the amount, course details, and payment information.

Trainer Welcome

When an admin creates a new trainer account, the trainer receives an email with their login email and temporary password.

Password Reset

When someone clicks "Forgot Password", they get an email with a secure link to set a new password.

  3. Notice the "Company Booked" badge on company-assigned training
